Who we are
EasyTalk English Academy ("EasyTalk", "we") runs this website, the placement test at this site/test and the staff panel. We decide how your details are used, and you can contact us about them at any time:
- Phone
- Address
You can also ask at the EasyTalk front desk.
What we collect
When you send the website form
- Your name and your phone or WhatsApp number, and your email if you give it.
- If you're booking for your child: your child's name and age.
- The course you're interested in, your message, and whether you ticked "Send me news and offers on WhatsApp".
For the placement test
- The student's name, age group (child, teen or adult), phone number if you gave it, and their personal test code.
- Consent: who agreed to the recording and the AI examiner (the student, or a parent or guardian for under-18s), when, and from which internet address and browser.
- A voice recording of the call from the student's microphone. It can also pick up Maya's voice and sounds in the room.
- A transcript of what the student and Maya said, with simple timing measures (how many words, how fast, pauses).
- The AI's level estimate and feedback, and the teacher's notes and confirmed level.
- Basic technical details, such as the browser and device type, and problems the test page reports (for example "microphone blocked"), so we can help if something goes wrong.
Cookies
We only use the cookies needed to log in: one keeps the student signed in during the test (up to 8 hours, and only 30 minutes after the test ends), and one keeps staff signed in. There are no advertising or tracking cookies and no analytics.
Why we use it
- To arrange and run the placement test, find the student's speaking level and recommend the right class.
- So an EasyTalk teacher can listen to the call, check the AI's result and confirm or change the level.
- To reply to your enquiry and book your classes, usually on WhatsApp.
- To send news and offers on WhatsApp, but only if you ticked that box. You can stop them at any time.
- To keep the service secure and working, and to fix problems.
We record the call and use AI only with the consent given on the test's first screen. We never sell your details or share them for advertising. We aim to follow Egypt's Personal Data Protection Law (Law No. 151 of 2020).
The AI services we use, and processing abroad
Maya is an AI examiner, not a person. To run her, we use these companies, which process the data for us:
When the OpenAI live voice is used, the student's voice is streamed to OpenAI during the call. OpenAI runs Maya's voice and writes down what the student says. It receives the student's first name (for the greeting), but not their full name, phone number or code. It may also work out the level when OpenRouter isn't used.
The transcript (text only, no audio) is sent through OpenRouter to Anthropic's Claude model, which works out the level and feedback. If the live voice is off, Claude also writes Maya's replies. We ask OpenRouter to use only providers that don't collect the data for training.
If the live voice isn't available or is switched off, the test uses your browser's own speech recognition to turn the student's voice into text. In Chrome (computer and Android) the voice goes to Google, in Edge to Microsoft, and in Safari or any browser on iPhone and iPad to Apple. Maya's replies then come from Claude through OpenRouter. OpenAI doesn't receive the voice in this mode.
These companies are in the United States, so this data is processed outside Egypt. The website and the test data are stored on our hosting provider's servers; with our standard setup these are in Frankfurt, Germany (European Union). The connection is encrypted (https), and the AI services' keys stay on our server.
The pages load their fonts from Google Fonts, so Google sees your device's internet address.
Who can see it, and how long we keep it
- Only EasyTalk staff who have the staff password (teachers and reception) can see results, transcripts and recordings.
- Call recordings are deleted automatically after 90 days.
- Results, transcripts and contact details are kept while you're a student or are deciding about classes, and are deleted when you ask us to, or when we no longer need them.
- Deleting a student in our system also deletes their results and recordings.
Children
For students under 18, a parent or guardian must agree before the test starts, and we store the guardian's name with that consent. Children's tests use child-friendly topics, and Maya never asks for personal details such as an address or school. We suggest a parent stays nearby during the call.
Your rights
You can ask us at any time to:
- tell you what we hold about you or your child, and give you a copy;
- correct anything that's wrong;
- delete your details, results and recordings;
- stop using your details for news and offers;
- withdraw your consent for future tests, or give your child a placement test with a teacher instead of the AI test.
The quickest way is WhatsApp. Please tell us your name and your test code if you have one. If you're not happy with our answer, you can complain to Egypt's Personal Data Protection Center.
If this policy changes, we update the version and date at the top of this page.
